Faculty Absence Procedures


Austin Community College (ACC) faculty teaching college-credit courses are expected to meet all of their classes for the length of time scheduled. ACC does recognize during the semester situations may arise which prevent faculty from meeting all scheduled classes though the expectation is that such absences will be rare.

From Administrative Rule #4.0503.06: Substitute Professors

  1. Faculty teaching college-credit courses are expected to meet all their classes for the length of time scheduled.
  2. The expectation is that absences will be rare. When an absence is anticipated, a faculty member should contact the Department Chair as early as possible. The Department Chair will determine whether the class will be cancelled or a qualified substitute assigned. When an unanticipated absence occurs, a faculty member should attempt to find a qualified substitute. If a qualified substitute cannot be found, the faculty member should notify the Campus Administration Office and Department Chair to ensure that a cancellation notice is posted to inform students.

Anticipated Absences

From Administrative Rule #4.0503.06.1: Substitute Professors (G/P)

When a faculty member anticipates being unable to conduct a class, the faculty member will:

    1. Notify the department chair as soon as possible.
    2. Recommend a qualified instructor (someone currently teaching at ACC or on the current Eligibility List) to teach the class.
    3. If the faculty member is unable to find a substitute, the department chair will try to find a substitute.
    4. If a substitute cannot be located, and the class must be cancelled, the Department Chair will contact the Campus Manager’s Office to ensure the appropriate notice is posted to inform students.

Unanticipated Absences

When a faculty member is unable to conduct a class because of unanticipated circumstances like illness or other emergencies, the faculty member will try to find a qualified instructor (someone currently teaching at ACC or on the current Eligibility List) to teach the class.

    1. Notify the department chair as soon as possible.
    2. If the faculty member is unable to find a substitute, and the class must be cancelled, the faculty member will contact the Campus Manager’s Office to ensure the appropriate notice is posted to inform students.
    3. The Campus Manager’s Office will notify the department chair and dean that a class has been cancelled.
